How we work — the legal version.

We are independent of every funder we mention.

Grants Lab is an independent Canadian grant consultancy. We are not affiliated with, endorsed by, sponsored by, or partnered with any funder, granting body, government agency, foundation, or program named anywhere on this website or in the platform at app.grantslab.ca.

Program names appear on this site solely to describe the kinds of opportunities we help clients pursue. All trademarks, service marks, and program names belong to their respective owners.

We have no commercial relationship with any funder that could influence which grants we recommend. Our incentive is one thing only: a clear match between the client’s project and the program they apply to.

We don’t promise grants will be awarded.

Most grant programs in Canada are competitive. Even strong, well-positioned applications don’t always win. We don’t guarantee, promise, or warranty any particular outcome — including whether a grant will be awarded, the amount of any award, or the timeline of any funder’s decision.

What you’re paying for is a polished, well-positioned submission and the professional judgement behind it — not a guaranteed result. Any forecasts, win-rate estimates, or odds we share during our work are good-faith assessments based on experience, not commitments.

Fixed fees. Never contingency.

Grants Lab charges fixed, transparent fees for defined deliverables. These fees are disclosed in writing before any engagement begins. You keep 100% of any grant funding you’re awarded.

We do not charge contingency fees, success fees, percentage-of-award fees, or any compensation tied to whether a grant is awarded. Canadian funders generally discourage contingency-fee arrangements with grant consultants, and several explicitly prohibit them. We believe the practice creates a conflict between the consultant and the client, and we don’t engage in it under any circumstances.

Specific payment terms (deposit amounts, milestones, refund policy if any, scope-change handling) are set out in writing before work begins — typically in an engagement letter or written quote.

Your information stays confidential.

Information you share with Grants Lab — through the intake form, during a working session, or in any document you provide — is held in confidence and used only to deliver the services you engaged us for. We retain client information only as long as needed to deliver our services and meet any applicable record-keeping obligations.

We do not sell your information to third parties. We do not share it with any funder except as part of an application you have specifically authorized us to submit on your behalf. Routine operational data (e.g., usage of our platform tools) may be processed by infrastructure providers (Supabase, Netlify, Resend, and similar) acting as our service providers under appropriate data-processing terms.

Grants Lab’s handling of personal information is subject to Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA). Under PIPEDA you have the right to access and correct personal information we hold about you, and to withdraw your consent to its use (subject to legal or contractual obligations that may apply). How we use modern technology.

Grants Lab uses a proprietary workflow that combines modern technology — including AI-assisted research and drafting tools — with careful human review and judgement. We disclose this openly because we believe clients should know how their work is being produced.

Every application we deliver is reviewed by a qualified human before submission. We do not submit unreviewed machine output to any funder. Any factual claims, financial figures, or organizational details in your applications are verified against the documents and information you provide.

Our use of technology is a means to deliver thoughtful work efficiently — not a substitute for professional judgement.

Limits on what we’re responsible for.

To the extent permitted by law, Grants Lab’s aggregate liability arising out of any engagement is limited to the fees paid for that engagement. We are not liable for indirect, incidental, consequential, special, or exemplary damages — including lost grants, lost profits, lost revenue, or loss of business opportunity — even if we were advised that such damages were possible.

These limits do not apply where prohibited by applicable law, including for fraud, willful misconduct, or gross negligence on our part.

Governing law.

These disclosures, your engagement with us, and any dispute arising from either are governed by the laws of the Province of Ontario and the federal laws of Canada applicable in Ontario. The courts of Ontario have non-exclusive jurisdiction over any such dispute.
